This policy explains what is refunded when you change or cancel a booking with Instant Event Staffing. It applies to bookings paid by card through our checkout.
1. The 48-hour rule
Every event has a refund deadline: 48 hours before its first shift starts, in the venue's local time. An event is one day. A booking that covers several days is several events, each with its own deadline.
- Before the refund deadline: if you cancel an event, remove a shift, or reduce the number of people or hours, the staffing charge for what you removed is refunded in full, including any incentive you added for those shifts.
- From the refund deadline onward: you can still make the change, but it is not refunded.
The deadline is judged at the moment the change is saved. If the deadline passes while you are reviewing a change, we ask you to confirm again before anything is saved.
2. Fees that are not refunded
- The administration fee, charged once per booking (currently $25).
- Any service fee shown on your bill.
3. Adding to a booking
Adding a shift, more people, more hours or an incentive is charged when you make the change. If we take payment for a change and cannot apply it, we refund that payment in full automatically, including any service fee on it.
4. How refunds are paid
- Refunds go back to the original payment method. We cannot refund to a different card or account.
- We send the refund when the change is saved. Banks usually show it within 5 to 10 business days.
- If a bank rejects a refund, for example because the card was closed, we contact you to arrange another way to return the money.
5. If we cannot staff a shift
If we are unable to supply staff for a shift you paid for, email us. We review every unfilled shift and the charge for it.
6. Questions and disputes
Email info@instanteventstaffing.com with the name on the booking and the event date. Please contact us before disputing a charge with your bank; we can usually resolve it faster.
