Briefing matters
A good brief is half the welcome.
Attendees judge an event in its first minutes. Give your team a floor map, the agenda, the key names and the answers to the five questions they'll hear most. A short in-person briefing at the start of each shift ties it together.

What to specify.
Multi-day shows often need different headcounts each day — note the schedule per day.
- Venue, hall or booth number and load-in details
- Dates and daily shift times, including setup and teardown days
- Roles and headcount by day — registration, guides, booth support
- Check-in or lead-capture tools the team will use
- Dress code or branded apparel provided on site
- Product talking points or brief for brand ambassador roles
Conference FAQs
Can staff cover just our booth rather than the whole event?
Yes. Exhibitors can request their own booth support or brand ambassadors. Include the booth number, hours and what the team should say and do.
How should we handle early registration peaks?
Arrival is rarely even. Add extra registration staff for the first hours of each day and reduce headcount once lines settle — list it as separate shifts.
Do brand ambassadors need product training?
Plan for it. Share a written brief beforehand and allow time at the start of the first shift for a walkthrough of the product and key messages.
