Instant Event Staffing ("IES," "we," "us," or "our") operates a platform that connects businesses with independent hourly workers for event, hospitality, and staffing needs (the "Platform"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to everyone who uses the Platform — businesses, workers, and visitors to our website.
1. Information We Collect
Information you give us directly:
- Account information: name, email address, phone number, and password when you register as a business or worker.
- Worker profile information: work history, references, certifications, tax status (e.g. W-9 information for independent contractors), payout method and details, and, where applicable, government-issued ID for identity and background verification.
- Business profile information: company name, billing address, tax ID, and the names and contact details of company representatives who post shifts or manage the account.
- Payment information: processed through our third-party payment processor — IES does not store full payment card or bank account numbers on our own servers.
- Communications: messages sent through the Platform, support tickets, and survey responses.
Information collected automatically:
- Usage data: pages viewed, shifts browsed or posted, search filters used, and general interaction with the Platform.
- Shift and location data: clock-in/clock-out times and, where enabled, real-time location during an active shift, so businesses can confirm worker arrival and workers can confirm shift completion.
- Device and log data: IP address, browser type, operating system, and cookie identifiers (see Section 4 below).
2. How We Use Your Information
We use the information we collect to:
- Match posted shifts with qualified, available workers and display accurate profiles to both sides once a shift is accepted;
- Process payments, invoices, and worker payouts;
- Verify identity, work eligibility, and — where a business or role requires it — conduct background checks;
- Send shift confirmations, reminders, receipts, and account notifications;
- Provide customer support and investigate disputes, no-shows, or policy violations;
- Maintain platform safety and reliability metrics (such as ratings and no-show rate);
- Improve and develop new features on the Platform; and
- Comply with tax, labor, and other legal obligations.
We do not sell your personal information to third parties.
3. How We Share Information
- Between businesses and workers: once a worker accepts a shift, the posting business can see the worker's name, photo, rating, shift history, and any position-specific certifications relevant to that shift. Once a business publishes a shift, prospective workers can see the venue, position, pay rate, and shift instructions.
- Service providers: we share information with vendors who help us operate the Platform, such as payment processors, background-check providers, cloud hosting, and SMS/email delivery services. These providers are only permitted to use the information to perform services for us.
- Legal and safety reasons: we may disclose information to comply with a legal obligation, enforce our Terms & Conditions, or protect the rights, property, or safety of IES, our users, or the public.
- Business transfers: if IES is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to the protections of this policy.
4. Cookies & Tracking Technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, measure Platform performance, and understand how the Platform is used. You can control cookies through your browser settings; disabling cookies may affect some Platform functionality, such as staying signed in.
5. Data Retention
We retain personal information for as long as your account is active and for a reasonable period afterward to comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Shift, payment, and tax-related records are generally retained longer than other account data due to recordkeeping requirements.
6. Your Rights & Choices
Depending on where you live, you may have the right to access, correct, export, or request deletion of your personal information, and to opt out of marketing communications at any time. Residents of California, the EU/UK, and other jurisdictions with data protection laws may have additional statutory rights. To exercise any of these rights, contact us using the details on our Contact page — we'll respond within the timeframe required by applicable law.
7. Data Security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, or misuse. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Children's Privacy
The Platform is intended for users who meet the minimum working age in their jurisdiction and is not directed to children. We do not knowingly collect personal information from children.
9. International Users
If you access the Platform from outside the country where our servers are located, your information may be transferred to, stored, and processed in a different country with different data protection laws.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We'll update the "Last updated" date above, and for material changes we'll provide additional notice (such as an email or in-platform banner) where required by law.
11. Contact Us
